Your responsibilities Reception : Welcome and control the entrance of visitors, staff members, suppliers and clients Collect daily mail at the box & control incoming/outgoing fax/e-mail and phone calls Ensure daily management of phone calls & emails : take and relay messages addressed to other staff members Pick up and/or deliver correspondence (according to the needs) Control and manage the deliveries of supplies Control and prepare invoices related to the reception tasks for payment Create access cards for visitors Control of the availabilities of meeting rooms for visitors and staff members General Services: Control the stock of office and kitchen supplies Prepare and purchase the office supplies needed Receive and control supplies Ensure printers are operational (paper and toners) Handle other related tasks as needed and/or as directed by immediate superior Administrative Tasks : Organize business trips (transportation, accommodation...) Organize events such as Friday's Breakfast or Christmas Holidays Handle administrative tasks such as sort/archive, prepare files, write and handle document layouts Your profile You have an High School Diploma You have at least two years of experience as an assistant or secretary You have good written and communication skills You speak fluently English, French and Portuguese You have the sense of discretion and work with confidentiality You are organized and can work autonomously You have good knowledge with MS Office : Word, Excel, Power-Point and Outlook You are immediately available We are looking for a person able to work every other week from 8am to 5pm and from 10am to 7pm.
