Your responsibilities Circulate and electronically file notes and e-notes in GED; Keep Serapis and PiRat up to date (event list and monitoring responsibilities); Gather information and distribute it for the Dashboard and for the Watch List and Intensive Monitoring List; When/if necessary organize business trips, including expenses reports; Organize conference calls and VC conferences, organise meetings both with internal staff and with external visitors; Use internal systems of the Bank (Serapis, GED, PeopleSoft Financials) to file appropriately the documents from the division, recognizing the projects, ensuring data quality and respecting naming convention; Collect incoming enquiries and, according to priority, answer directly or allocate it to the appropriate person; Prepare and send the Division ’s correspondence, proofreading and assisting in the finalization of various work documents (letters, presentations, reports, minutes etc.); Ensuring mutual back-up with the other divisional assistants;Issue invoices upon request. Your profile Secondary level education, complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration) or secondary level education with equally qualified experience in a relevant field Minimum 3 years of relevant professional experience Flexibility and team work Organization and rigour Excellent knowledge of standard computer tools, particularly Serapis, GED, People Soft Financials and MS Office tools (Word, Excel, PowerPoint) Excellent knowledge of written and spoken English Immediate availability This position is a long-term temporary mission based in Kirchberg.
